This notice explains how Saulius Automates It Recruitment (Saulius Saulenas, trading as Saulius Automates It, a sole trader in the United Kingdom) uses information about people looking for work. We are the data controller, registered with the Information Commissioner’s Office under registration number ZC286371. Contact: saulius@sauliusautomatesit.com or 0115 661 1053.

What we collect

What you give us on the application form, by phone, by email or in a CV: your name, contact details, where you live and how far you will travel, the work you want, your experience, qualifications and cards (for example Driver CPC, tachograph, forklift, CSCS or ECS), availability, shifts and pay expectations, whether you have the right to work in the UK, and any photos of cards you choose to upload. For driving roles, with your agreement, we also record the number of penalty points on your licence and the DVLA check code you create, because employers and their insurers require this. If you share a right-to-work share code, we also need your date of birth to check it. We do not ask for health, religion, ethnicity or other sensitive information. If you mention a health condition or ask for adjustments, we only record that you asked for support.

Phone calls

Calls to 0115 661 1053 are answered by an AI phone assistant, which tells you so at the start. The call is transcribed (not recorded as audio) so that we can review what you said. You can ask to speak to a person, or apply online instead.

Why we use it, and on what basis

  • To find you suitable work and introduce you to employers – because you asked us to (steps before entering into a contract) and our legitimate interests in running a recruitment service.
  • To check your licence and right to work, with your consent, which you can withdraw at any time.
  • To contact you about your application, interviews and jobs you have started.
  • To keep records the law requires of an employment agency, and accounting records.

AI-assisted sorting

We use an AI system to read applications and card photos, suggest which roles fit and flag missing information. It does not make final decisions: a person reviews every shortlist and every decision not to put someone forward. You can ask us to explain a decision, give us more information, ask for a person to look at it again, and challenge it.

Who sees your details

We only send your details to an employer after asking you first. We never charge job seekers a fee. We use trusted service providers to run the service: Google (email), Cloudflare (website), ElevenLabs (phone assistant), Anthropic (AI sorting) and Oracle (secure server hosting). Some are based in the United States; where your data leaves the UK it is protected by UK-approved safeguards such as the UK-US data bridge or standard contractual clauses. We never sell your details.

How long we keep it

Verification codes are deleted within 30 days. Everything else is deleted 12 months after we were last in touch, unless you have started a job through us, in which case we keep a record of the placement for up to 6 years for legal and accounting reasons.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, and withdraw consent. Reply “delete” to any email from us, or contact us using the details above. If you are unhappy, you can complain to the Information Commissioner’s Office at ico.org.uk.
